The Education Grant Planner and Analyst will develop relationships and collaborate with key stakeholders (i.e. Pre-School, Kindergarten to 12th Grade) and display adherence to the organization's mission, vision and goals. This position will lead efforts in securing funding to help the origanization operate a rigorous and cutting edge STEM2 (Science, Technology, Engineering, Mathematics and Medicine) college career educational preparation programs.
Responsibilites and Duties include:
- Analyzing, writing, planning, implementing, monitoring and editing grant proposals, annual reports and district applications. Ensures all reporting is accurate and submits reports to fulfill appropriate requirements. Completes AZ Department of Education Grants Management submissions.
- Attends meetings and seminars to learn and/remain current on all procedures related to each program, including those indicated by ADE (Arizona Department of Education). Ensures that all programs, procedures, and practices are in compliance with federal, state and LEA regulations.
- Research grant opportunities, compelling grant writing proposals, work with the leadership team to ensure we have enough capital each year and understand our financial needs to ensure we attain funding.
- Identify and research potential funding opportunities.
- Interpret and understand grant application guidelines and requirements.
- Develop budgets for grant applications.
- Collaborate with program and finance staff to gather information.
- Ensure grant applications adhere to the values and objectives of the organization.
- Track and document submissions, including the dates sent, funding source and outcome.
- Follow up on applications and provide additional information if requested.
- Maintain a comprehensive calendar of grant deadlines.
- Write reports to funders and update them on the progress of funded projects.
- Cultivate relationships with potential funders, including foundations, government agencies and corporations.
- Communicates status of federal grants to CEO/Superintendent.
- Consults with the Chief Financial Officer in the development of the budget applications associated with all federal programs including applying district budget process, grants, and funding sources related to outside agencies and ensuring that resources are used appropriately.
- Oversees grant program compliance requirements and audits including reporting, documentation and tracking. Develops and revises processes, policies, and forms.
- Manages the district Time and Effort Reporting process including analyzing employee data to facilitate the generation of certification documents; providing training to employees; and coordinating with the internal auditor to ensure compliance with federal and district guidelines.
- Collaborates with a variety of district departments, including CEO/Superintendent’s Office, Chief Financial Officer, Headmaster and Human Resources
- Facilitates and conducts a variety of meetings and training activities for headmaster, school staff, departments, and project leaders regarding program compliance, applying best practices, involving parents in the educational process, and ensuring that all programs are working toward the District goals
- Administrative duties that include: coordinate and participate in meetings, manage materials and resources for projects.
- Performs other duties as required.
Education/Experience:
- Bachelor’s degree in Education or equivalent in Finance, Business Administration or a closely related field
- A minimum of three (3) years demonstrated leadership experience
- Three (3) years’ experience in grants management
- Experience in continuous improvement processes
- Experience with instructional programs
- Must be knowledgeable of the laws and regulations of school budgeting, accounting, procurement and insurance
Skills/Knowlege/Abilities:
- Proven work experience as a Grant Writer for educational setting
- Exceptional organizational and writing skills
- Experience and knowledge of federal grants and school finance; AZ Department of Education Grants Management Enterprise.
- A motivated self-starter, learner and investigator; Ability to analyze issues and creatively solve problems; Ability to apply knowledge
- Effectively uses complex databases, spreadsheets, financial systems, Google suite, budgetary software
- Excel including using formula, pivot table and other functions; General accounting and mathematic functions
- Ability to analyze and interpret complex data. Demonstrates strong organizational skills that are detail-oriented.
- Utilize effective communication skills to deliver understandable messages to various audiences, writing is clear, concise, accurate and technically correct.
- Engaging and encouraging communication and customer service skills while interacting with supervisors, staff, students, etc. to exchange information.
- Collaborating with others to make decisions and applying the appropriate group processes.
Working Environment:
- The working environment is primarily in an office setting.
- This position requires the employee to be able to travel between school sites and the district office.
- Travel is occasional to frequent in the local area with infrequent trips within and out-of-state.
Terms of Employment:
Twelve-month position, Administrative salary, benefits in accordance with Board policies.
